Privacy Policy
Effective date: April 11, 2026
Last updated: October 5, 2026
This is the privacy policy for Gather, a group-planning service operated by Gather More, Inc. (“we,” “us,” “our”). It covers what we collect, how we use it, who we share it with, and what rights you have.
We wrote this in plain language on purpose. If any part is unclear, email us at support@gathermore.com and we’ll explain it.
1. Who this covers
This policy applies to anyone who uses Gather — whether you create an account, attend a gathering someone invited you to, take a quiz on our website, sign up for our emails or text messages, or use Jill on a participating venue’s website.
Jill is Gather’s AI party-planning concierge. Gather operates Jill, and participating venues embed it on their websites to answer questions and help adults plan parties and group events. Our first participating venue is Ready Set Fun, an indoor children’s play space in Sandy Springs, Georgia.
Jill identifies itself as AI, and its responses can occasionally be incorrect. You can ask to connect with a venue’s planner when you need help from a person.
You can chat with Jill without creating an account. If you create an account, you can save your plans and return to them later.
If you’re under 13, you can’t use Gather. Don’t create an account. If you’re a parent or guardian and you believe your child under 13 has signed up, email us and we’ll delete the account.
Jill is intended for adults planning parties or group events. Section 11 explains how we handle information an adult provides about a child’s party.
2. What we collect
We collect three kinds of information.
Information you give us directly
- Account information: your name, email address, and password when you sign up through Gather’s email-and-password signup process. If you create an account through Jill, we collect your first name and mobile number and verify the number using a six-digit code sent by text. Jill’s signup process does not require a password.
- Profile information: any additional details you add to your profile, like a photo, a short bio, or the groups you belong to.
- Gathering information: the gatherings you create, the people you invite, your RSVPs, and your votes on times or activities. For parties planned through Jill, this also includes details such as the date, package, headcount, theme, and quote.
- Phone number: if you choose to give us your phone number. We use it for the purposes you agree to, such as account verification and party-related texts. See section 5.
- Messages you send: any messages you send through Gather to organizers, invitees, or our support team, including your conversations with Jill. We save Jill conversations whether or not you create an account. Chatting without an account does not make information you include in a message anonymous.
- Guest lists: the names and mobile numbers of guests a host selects, along with their RSVP responses.
- Children’s party information: a birthday child’s first name and age when an adult provides them for party planning or invitations.
- Allergy flag: a yes-or-no indication that allergy-related follow-up is needed, so Jill can direct you to a venue planner. This feature does not ask for detailed medical information. Please discuss specific allergy needs directly with the planner.
Jill does not collect payment details as part of its booking process. Booking and payment are handled through the venue’s own booking system. Ready Set Fun uses ROLLER. Please do not enter payment-card details into a Jill conversation.
Information we collect automatically
- Device and usage information: the type of device you use, your operating system, your browser, your IP address, the pages you visit, and the times you visit them. We use this information for security, analytics, and fixing bugs.
- Cookies and similar technologies: small files stored on your device that help us keep you logged in and understand how Gather is used. You can clear or block cookies in your browser settings, but some parts of Gather may not work properly if you do. Section 7 explains our website’s cookie practices and distinguishes them from Jill.
Information from other sources
- Sign-in providers: if you sign up using Google or another sign-in provider, that provider shares your name and email with us. We don’t see your password.
- Quiz responses: if you take a quiz on one of our marketing pages, we collect the answers you give and the result you got so we can send you your result and understand which parts of Gather resonate with which kinds of people.
- Connected contacts: if you are a signed-in host and choose to connect your Google or Apple contacts, Gather accesses the connected address book so you can select guests. We do not retain unselected contacts beyond what is needed to display the guest picker. Only selected contacts are saved to your guest list. Connecting an address book does not itself send anyone a message.
- Information provided by a host: if someone invites you to a gathering, we receive the name and mobile number they provide for you, even if you do not have a Gather account.
3. How we use your information
We use the information above to:
- Create, verify, and manage your account.
- Send you the gathering invitations, RSVPs, reminders, and vote prompts that are the core of the service.
- Send you emails and text messages you’ve opted in to, and host-requested invitations subject to the permission requirements in section 5.
- Answer questions through Jill and help you plan a party or group event.
- Improve the venue’s answers and prepare weekly venue reports using Jill conversations.
- Save your plans, chat history, and selected guest lists to your Gather account so you can reuse them for future parties at participating Gather venues.
- Let you select guests from connected contacts.
- Pass your question and relevant information to a venue planner when you request a person.
- Flag the need for allergy-related follow-up with a planner.
- Keep Gather secure, detect fraud, and enforce our Terms and Conditions.
- Improve Gather by understanding how it’s used.
- Comply with the law.
We do not sell your personal information to advertisers, data brokers, or anyone else.
AI processing
Jill uses OpenRouter to access third-party AI models that generate its responses. Chat information is processed to provide those responses.
Your chats are not used to train AI models. Improving venue answers and preparing venue reports are separate from training AI models.
Saved information across venues
Your saved plans, chat history, and guest lists belong to your Gather account and can be reused when you plan future parties at other participating venues.
A venue sees only the chats associated with its own venue. When you plan a new gathering or group with another venue, that venue receives the information associated with that new gathering or group; it does not receive access to your unrelated chats at other venues.
Saving a guest list does not enroll those guests in marketing or authorize texts about unrelated future gatherings. The permission requirements in section 5 apply when you invite people again.
4. Email communications
We send two kinds of email.
Service emails are part of the product — a password reset, a gathering invitation, an RSVP confirmation, or a reminder about a gathering you said yes to. You can’t opt out of these without deleting your account, because they are how the service works.
Marketing emails are updates about Gather, new features, tips, or occasional news. We only send these if you opted in during signup or in your profile settings. Every marketing email has an unsubscribe link at the bottom. Clicking it stops marketing emails within a few hours.
If you unsubscribe from marketing, you still receive service emails. That’s not a bug — it’s the separation the law allows.
5. SMS / text message communications
This section applies if you provide your phone number to Gather or a host selects you to receive a gathering invitation by text.
Types of text messages
Verification texts contain the code you request to verify your mobile number when creating or accessing an account through Jill.
Transactional texts relate to your account or a specific gathering — for example:
- Saved plans: information about a party plan you saved.
- Gathering reminders: a heads-up before a gathering you RSVP’d yes to.
- RSVP confirmations and updates: a confirmation when you respond to an invitation, or an update for a host about guest responses.
- Vote prompts: when a gathering organizer needs your input on a time or activity.
- Invitations: when someone invites you to a gathering via SMS.
- RSVP reminders: a reminder to respond to a gathering invitation.
Marketing texts are product updates or promotions from Gather that aren’t tied to a specific gathering — for example, a new feature announcement, an occasional tip, or an offer.
Consent to verification or party-related texts does not enroll you in marketing texts.
How you opt in
Verification through Jill
You request a verification text by entering your mobile number and tapping Send code. The notice beside that action explains that Gather will text you a verification code, that message and data rates may apply, and provides links to our Terms and Privacy Policy.
Tapping Send code does not enroll you in ongoing party updates or marketing texts.
Party updates through Jill
You can separately choose to receive saved-plan texts, RSVP updates, and reminders by checking an optional, unchecked party-update box. This choice is separate from requesting a verification code.
Marketing texts
Marketing texts require a separate, optional opt-in. We do not pre-check the marketing consent box, and marketing consent is not a condition of purchase.
Jill’s signup process does not enroll you in marketing texts.
We keep a timestamped record of your text-message consent.
Invitations sent on a host’s behalf
A host may ask Gather to send invitations and RSVP reminders to selected guests who do not have Gather accounts.
Before sending invitations by text, the host must check a box confirming that they personally know the selected recipients and that each recipient has given permission for the host to share their mobile number with Gather and have Gather text them about that gathering on the host’s behalf.
The confirmation also explains that recipients can reply STOP at any time and requires the host to agree to the Gather Organizer SMS Agreement, including responsibility for permission to contact recipients and compliance with the TCPA and similar laws.
Only the contacts the host selects are designated to receive invitations. Selecting contacts does not override an opt-out or replace the host’s obligation to obtain permission.
Receiving an invitation does not enroll a guest in Gather marketing or authorize messages about unrelated gatherings.
Message frequency and rates
Message frequency varies. Some weeks you may get no texts; other weeks you may get several if you have multiple gatherings in motion. Verification codes are sent when requested.
Message and data rates may apply. Your mobile carrier may charge you for receiving these messages, depending on your plan. We don’t control or reimburse carrier fees.
How you opt out
Reply STOP to any text message from Gather. You’ll get one confirmation that you’ve been unsubscribed, and then no further messages from that number. STOP opts you out of both transactional and marketing texts sent from that number, including gathering reminders.
Reply HELP to any message to get our contact information.
Stopping texts does not automatically delete your account or remove your information from a saved guest list. You can separately request removal by emailing support@gathermore.com.
Mobile information is not shared with third parties for marketing
We do not share your phone number, your SMS opt-in status, or the content of your text messages with any third party or affiliate for their marketing or promotional purposes. No mobile information is sold, rented, or shared for marketing purposes of any kind.
We share phone numbers with service providers that help operate Gather and deliver its services, including Twilio, which delivers Gather’s and Jill’s text messages. Those providers process information on our behalf and are contractually required to protect it and use it only to provide their services.
When you request a venue planner or book with a venue, we also share relevant contact information with that venue as described in section 8. This service-related sharing does not give the venue permission to use your Gather SMS consent for its own marketing.
Who can text you
Gather’s text-message program sends messages using Gather’s registered sending number. A venue’s separate communications are not part of that program.
If you receive a text claiming to be from Gather from an unfamiliar number, contact us at support@gathermore.com to verify it before sharing information or following links.
6. Calendar information
If you connect your Google Calendar, Gather requests only your free/busy availability — the blocks of time when you are busy or free. We never see your event titles, descriptions, locations, or guest lists.
We use availability solely to suggest dates for gatherings you are planning, and we do not share calendar information with anyone.
You can disconnect your calendar at any time in your Gather settings or at myaccount.google.com/permissions.
Gather’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Connecting contacts is a separate feature from connecting your calendar. Section 2 explains the contacts information we access, and section 10 explains how to disconnect it.
7. Cookies and tracking
We use a small number of cookies on the Gather website:
- Essential cookies make the site work. This includes keeping you logged in, standard security cookies, and the cookie that remembers your answer to the cookie banner itself (
gather_consent, stored for 12 months). You can’t opt out of essentials because the site can’t function without them. - Analytics cookies let us see which pages people visit, which links get clicked, and which parts of Gather are confusing or broken. We use Google Analytics 4 for this on the Gather website. Analytics only load after you click “Accept” in the cookie banner. If you click “No thanks,” nothing analytics-related fires.
- No ad tracking. We don’t run ad pixels, remarketing tags, or third-party ad cookies. If that ever changes, we’ll update this page and re-prompt you in the banner.
Your consent choice is stored for 12 months, after which the banner reappears so you can reconfirm or change your mind. To change your choice sooner, clear your site cookies for gathermore.com in your browser settings.
Jill does not use Google Analytics 4. A venue’s website may have its own cookies and tracking technologies, which are covered by that venue’s privacy and cookie notices.
8. Who we share information with
We share your information only in these situations:
- Service providers: companies that help us run Gather — including our database provider, email sender, text-message provider, AI services, and website analytics tool. They’re contractually required to protect your information and only use it to provide the service.
- Other Gather users: when you create a gathering, the people you invite see your name and the gathering details. When you RSVP, the organizer sees your response. A host can also see the guest list they selected and use it to manage invitations and responses.
- The venue associated with your Jill conversation or gathering: we share chat messages, relevant party details, and any allergy flag so the venue can help with the event. When you ask to speak with a person, Jill passes your name, phone number, party details, and question to the venue’s planner. Relevant contact and gathering information is also shared when you book. The limits on sharing across venues are explained in section 3.
- Legal requirements: when we’re required by law — for example, a valid subpoena or court order. We push back on overly broad requests.
- Business transfers: if Gather is ever acquired or merged with another company, your information may transfer to the new owner. We’d notify you first.
Our providers include:
| Provider | Role |
|---|---|
| OpenRouter | Provides access to AI models used to generate Jill’s responses. |
| Supabase | Stores Jill’s data and supports its backend services. |
| Twilio | Delivers Gather and Jill text messages. |
| Google Analytics 4 | Provides analytics for the Gather website; it is not used for Jill. |
Venue booking systems are separate from Jill. Ready Set Fun uses ROLLER for booking and payment. Information you submit through a venue’s booking system is also subject to the applicable venue and booking-provider privacy policies.
Unselected address-book contacts are accessed by Gather to display the guest picker; they are not shared with venues. Selected guest lists are held by Gather and made available to the host for the purposes described in this policy.
9. How long we keep your information
- Account information: as long as your account is active, plus up to 90 days after you delete it.
- Signups that were never confirmed by email: if you never click the confirmation link we email you, the half-finished account is removed after 30 days — with a 48-hour grace period, so confirming late still keeps it.
- Gathering history: as long as your account is active. If you delete your account, gatherings you organized stay so that everyone else’s plans don’t disappear — but your name and details are removed from them.
- Communications: service emails and texts are logged for a rolling 12 months; marketing messages are logged for 12 months; support conversations are kept for as long as your account is active.
- Analytics data: kept for up to 25 months, then automatically deleted or anonymized.
- Legal records: some information we’re required to keep by law — for example, opt-in records — we keep for as long as the law requires.
Jill chats, plans, and contacts
Jill’s data is stored using Supabase.
- Chats without an account: retained for 12 months, then deleted or de-identified.
- Signed-in chat history, saved party plans, and selected guest lists: retained while your account is active, so you can reuse them. These records are deleted after three years without account activity, or you can request deletion sooner.
- Allergy flags: retained for the same period as the associated party details.
- Unselected contacts: not retained beyond what is needed to display the guest picker. Only the contacts you select are saved.
- Guest information: retained with the host’s saved guest list under the schedule above. Guests can request removal without creating a Gather account.
The existing allowance of up to 90 days after account deletion also applies to removing Jill account data. The exceptions above for legal records and preserving gatherings without the deleted organizer’s name and details continue to apply.
More on unconfirmed email signups
If you start creating an account and never confirm your email address, we don’t keep the half-finished account. After 30 days we mark it for removal and wait another 48 hours in case you come back — confirming at any point before the end of that window keeps your account exactly as it is.
After that we clear it out: your name, email address, and anything else you entered are erased from the account, and the email address is freed up so it can be used to sign up again.
Two things stay behind that can no longer be traced back to you:
- A stripped-down record that our terms were accepted — which version, on what date, and which signup form it came from, with the IP address and device details erased.
- Internal ID numbers that no longer point to a person.
And two we want to be straight with you about, because they do still contain the email address that was typed:
- Our email provider’s own record of messages already sent to that address, which they keep under their retention schedule.
- Our security log — the behind-the-scenes record of signup, sign-in, and password-reset attempts.
We keep the terms record for as long as we might need it to show consent was handled properly, the delivery record for as long as we need it to show we honored opt-outs and unsubscribes, and the security log for as long as it’s useful for investigating abuse.
None of them are used for marketing, and none of them are used to build a profile of you.
These unconfirmed-email signup rules describe Gather’s email-verification process, rather than Jill’s text-code verification process.
10. Your rights
Depending on where you live, you may have the right to:
- See what information we have about you.
- Correct inaccurate information.
- Delete your account and your information; some records may be retained for legal reasons.
- Export your information in a common format.
- Opt out of marketing email and SMS at any time, as explained in sections 4 and 5.
- Object to certain kinds of processing.
- Withdraw consent at any time for anything you opted in to.
To exercise any of these rights, email us at support@gathermore.com. We’ll respond within 30 days.
These requests can include your Jill chat history, saved plans, or guest-list information. You do not need a Gather account to ask us to remove information about you that a host supplied.
Disconnecting contacts
You can disconnect your Google or Apple contacts using the Disconnect toggle in your profile settings.
Disconnecting ends the connection to your address book. Previously selected contacts are part of your saved guest list; you can request their deletion separately.
Requests involving a venue
Send requests involving both Gather and a venue to support@gathermore.com. Gather will coordinate with the venue to address the request.
A venue may also have its own obligations concerning information it holds, including booking records, under its privacy policy and applicable law.
Unconfirmed email signups
If an account was never confirmed by email, we never established that the email address really belonged to whoever typed it. So for a request about one of those, we match only on the exact email address or account link you give us — we won’t search by name or act on a close match, and we may ask you to show the address is yours before we go ahead.
That protects you from someone else using a deletion request to interfere with your address.
California residents
If you’re in California, you have specific rights under the California Consumer Privacy Act (CCPA), including the right to know, delete, correct, and opt out of the sale of your information. Because Gather does not sell personal information, you do not need to submit a sale opt-out request to prevent a sale.
European Union and United Kingdom residents
If you’re in the European Union or the United Kingdom, you have specific rights under the GDPR, including the right of access, rectification, erasure, restriction, portability, and objection.
The legal basis we rely on is either your consent or our legitimate interest in running the service.
11. Children
Gather is not for children under 13, and Jill is intended for adults planning parties or group events. We don’t knowingly collect information directly from children under 13 using the service.
If we learn that a child under 13 has created an account or provided information directly through the service, we delete that account and the information collected directly from the child.
An adult organizer may provide a birthday child’s first name and age for party planning and invitations. This limited information provided by an adult is different from a child using Gather directly. We use it to support the gathering and retain it under the party-information rules in section 9.
Please limit information about children to what is needed for the party. Discuss detailed allergy or medical needs directly with the venue’s planner.
Parents or guardians: email support@gathermore.com if you have concerns or want to request deletion of information about your child.
12. Security
We protect your information with the standard security measures any serious web service uses: encrypted connections (HTTPS), hashed passwords for accounts that use passwords, access controls, and regular security reviews.
Jill’s signup process uses texted verification codes rather than passwords.
No system is 100% secure, but we take it seriously and act quickly if we discover a problem.
If we ever discover a breach that affects your information, we’ll notify you and the relevant authorities within the time frame required by law.
13. Changes to this policy
We may update this policy as Gather grows.
If we make a material change — something that actually affects your rights — we’ll notify you by email or in the app before the change takes effect.
Small edits, such as fixing a typo or clarifying a sentence, happen without notice. The “Last updated” date at the top always reflects the most recent change.
